Create a Profile
Your default profile
When you first open Aeralis, you go through a short onboarding with two optional fields:
- About you — a sentence or two about who you are and what you write about
- How you write — a short hint about your tone, sign-offs, and length
Both are optional. Whatever you fill in (or skip) creates your default profile named My Profile. You can edit it any time from /profiles.
That's it for the Free plan — one profile, no setup steps beyond the two optional fields.
Creating additional profiles (Pro+)
If you're on the Pro plan or above, you can create more profiles to handle different contexts. For example: one for client work, one for internal team comms, one for personal email.
Each additional profile starts from a template. Templates are pre-written starting points for common contexts — you pick one and customize from there.
The available templates are:
- Customer Support — Handling tickets and customer questions
- Customer Success — Relationship management and check-ins
- Sales Outreach — Prospecting and follow-ups
- Executive — Leadership communication
- Recruiting — Candidate outreach and scheduling
- Account Management — Client relationship emails
- Internal Comms — Team and company-wide messages
- Personal — Everyday personal email
From the web dashboard
- Go to aeralis.ai/profiles
- Click + New Profile
- Pick a template
- The profile is created with sensible defaults — you can edit it immediately
From the Gmail add-on
- Open Gmail and click the Aeralis icon
- Go to Manage Profiles
- Tap New Profile and pick a template
Customizing a profile
After creation, you can edit:
- Name — Give it something descriptive (e.g., "Work — Client A", "Recruiting — Engineering")
- Icon — An emoji for quick visual recognition
- About you — Context about who you are in this profile's scenario; Aeralis uses this when drafting
- How you write — A short hint about your tone and style for this profile
- Grounding tools — see below
There's no activation step. New profiles are ready to use immediately.
Grounding tools
Add external knowledge to your emails:
- Context URLs — Websites the AI can reference (e.g., company site, documentation)
- Google Search — Include up-to-date information from the web
- Google Maps — Location-aware recommendations
- Knowledge — Reference your uploaded documents (Business plan and above)
Setting a default profile
Aeralis uses your default profile when you open it. To change which profile is the default:
- Go to your profiles list
- Click Set as Default on the profile you want
Profile limits by plan
| Plan | Max Profiles |
|---|---|
| Free | 1 |
| Pro | 5 |
| Business | Unlimited |
| Team | Unlimited |
Tips
- Use distinct profiles for distinct contexts. Aeralis can learn your "work" voice and your "personal" voice separately if you separate them.
- Use descriptive names so you can quickly pick the right profile in the compose flow.
- Set a "How you write" hint if you want to lock in tone immediately — Aeralis will still keep learning from threads on top of the hint.
