What is Knowledge?

Knowledge allows Aeralis to search through documents you've uploaded and reference that information when generating emails. This is ideal for maintaining consistency with your company's documentation, policies, and materials.

How It Works

  1. Upload documents to create a Knowledge folder
  2. Connect folders to your profile
  3. When generating emails, Aeralis searches your documents for relevant information
  4. The AI incorporates accurate details from your files into the email

Reference your internal documentation:

Setting Up Knowledge

Step 1: Create a Folder

  1. Go to aeralis.ai/knowledge
  2. Enter a folder name (e.g., "Product Documentation", "Sales Materials")
  3. Click Create Folder

Step 2: Upload Documents

  1. Click on your new folder to expand it
  2. Click Upload File
  3. Select files to upload (PDF, DOCX, TXT supported)
  4. Wait for processing to complete

Step 3: Connect to Your Profile

  1. Go to aeralis.ai/profiles
  2. Edit your profile
  3. In Knowledge Folders, select the folders you want to use
  4. Save your profile

Knowledge supports a wide range of file formats. Here are the most common ones:

Many other text-based formats are also supported. If your file contains readable text, it will likely work with Knowledge.

Best Practices

  • Organize by purpose - Create different folders for different document types (sales, support, HR)
  • Keep documents current - Update files when information changes
  • Use clear file names - Helps you manage your document library
  • Start with key documents - Upload your most-referenced materials first
  • Test the results - Generate a sample email to verify correct information is being pulled
  • Select multiple folders - You can select multiple folders per profile for broader context

Limitations

  • Business plan only - Knowledge is exclusive to Business plan subscribers
  • Cannot combine with Google Search - Use one or the other per profile, not both
  • Processing time - Large documents may take a few minutes to process
  • File size limits - Individual files have size restrictions
  • Text-based content - Images and charts within documents are not searchable

Managing Your Documents

Viewing Documents

  1. Go to aeralis.ai/knowledge
  2. Click on a folder to expand it
  3. See all uploaded documents with their status
  4. View file sizes and upload dates

Removing Documents

  1. Click on the folder containing the document
  2. Click the delete button next to the document
  3. Confirm removal

Updating Documents

To update a document, delete the old version and upload the new one. Document names don't need to match.
